Your place for everything

Once you have cleaned your work accessories, return them back. Three questions will help you with this.
Take the thing in hand and ask yourself:
If so, is it needed in the quantity that is now?
If, yes, should this item be here (on my desk)?
For a final check, ask yourself a security question:How often do I use this item?
If several times a day - feel free to leave it on the table. If less often, the item goes to the Quarantine zone.
The biggest mistake is to try to immediately determine the place for the “problem thing”. Follow this path, you will restore order very, very long.
So do not step on this rake, feel free to put everything that is in question into Quarantine. When you clean up on the table, deal with each thing separately.
A rigorous inspection undergoes everything from documents in trays to office supplies in a desktop organizer. Stationery leave only in one copy!
View all papers in the work trays. Some of them are probably outdated, some are generally unclear where they came from. Throw away without regret everything that is unnecessary and incomprehensible why it lies.
To start, I recommend leaving two trays on the table. Gradually, you will learn to do without them at all.
Glue the message “Inbox” on one tray (remember GTD), on the other — "Done."
Put all current documents in the Inbox tray. After putting things in order, it will be clear where to start work.
All processed documents go to the "Done" tray. So you will see how much you did in a day (or week).
As a result, the things that you use several times a day should remain on the countertop.
Removed from the table, proceed to cleaning in the nightstand.
The sequence is the same - pull out everything, wipe the box from the dust, return only the necessary things back.
If you have three drawers in your bedside table, then the things that you use two or three times a week are put on the top. In the middle - those that are used once every ten days, and at the bottom leave personal items (mug, sugar, gloves, etc.)
After this stage, you should noticeably replenish the garbage basket and the quarantine zone.
Cleanliness, standardization and improvement
After the first two steps, does your table look unusually clean and empty? If so, you did everything right.
At first, you will be pestering the feeling that something is missing. This is normal, just your eyes are not yet accustomed to a new look.
So that the mess does not return, you need to decide when and how you will maintain the created order.
I recommend cleaning up every evening at the end of the working day. Let all day on the table at least “mom walks”, but in the evening there should be chic and brilliance.
With this ritual, you close the working day and switch to rest. On Friday, I advise you to do the cleaning in the trays and check for the relevance of the cases that have accumulated in the Inbox and clear the Done tray.
In my understanding, the standard is the best way to do this or that job. The standard of your order will be a photograph of a tidy workplace. Print a photo and hang it above the table. Now you will never forget how your table should look after work. Any deviations will be immediately noticeable. You just have to maintain and improve cleanliness.
If you did everything right, an unusually clean table will meet you in the morning. And then you will tell yourself and I thank you very much for the chance to start the day from scratch.
When the order appears on the table, it will strongly contrast with the general mess. Therefore, do not calm down and begin to clean up in neighboring cabinets, in a room, in a house.
No need to rush to remove everything at once. Fast only cats under the bench. Therefore, clear your rubble gradually.
It often happens that after 5C, the office is completely transformed. Space, employee, customers and even business are changing.

We put things in order
Cleaning the desktop is the first step towards fully restoring order on the entire computer. Moreover, unnecessary data on it overload the system and slow it down.
It is not surprising that users like to run everything from the desktop, but they don’t understand why the PC is too slow. Many people simply too lazy to make a couple of extra clicks to gain access to a particular document.
The desktop is a full-fledged place of work, and nothing should distract you from this activity. That is why it is not recommended that unnecessary elements be placed on it, because they only in vain take up free space and can be located in any other place.
As a rule, on the main "page" of the PC are placed shortcuts of different folders that are contained on local drives. The number of labels depends solely on you, your wishes and preferences. Someone likes cleanliness and complete order, when at least a sign is visible in a prominent place.
Others like quick access to the necessary programs, which is why their start screen looks like a minefield. When one wrong click of an icon leads to the launch of an unnecessary utility. As practice shows, there is no need for shortcuts for all the utilities on the PC. The minimum set is My Computer, Trash, and My Documents. Everything else should be done to your liking.

Work with icons
To move files, you need to move the pointer to the desired shortcut, hold down the left mouse button and drag it to a suitable place. After that, you need to update the initial screen by pressing "F5" or through the context menu.
You can also click “Arrange icons” and leave the bird beside “Align by grid” so that the icons are normally located and not shifted.
Those programs that you use regularly, or rather their icons, can be added to the quick access panel located to the right of the "Start". To add them you just need to drag the icon to this panel, and delete the shortcut altogether.
You can set the size of this panel yourself. We press the right button and in the menu that appears, deactivate the "Fix taskbar" function. Next, move the cursor to the edge of the panel so that it changes its shape to a double arrow, hold down the left button and adjust the length. Now we fix the taskbar back, as we did.

To change the default icons for the folders “Computer”, “Trash”, Network, right-click on the desktop and select the menu item “Personalization”.

I would like to focus on the item “Personalization”, because with it you can change the design of buttons and folders, put new wallpapers, themes and screensavers. To customize the start screen according to your own desires and preferences, you should navigate through the corresponding tabs and items.
Minor programs that you do not use so often can be found in the Start menu. To do this, move the cursor to the shortcut, hold down the left mouse button, click the “Win” button and drag the program to the place you need.
Now the utility will be available directly from the "Start" and the need to search for one or another icon among all other icons each time will disappear. Just click on "Start" and run the desired utility.
Another very convenient option that not many use is to assign hot keys for quick access to the desired program. Click on the desired shortcut and go to its properties. We click on the “Quick Call” field and press the necessary combination on the keyboard (it is desirable that it is not used in Windows itself), for example, “CTRL + SHIFT + M”.
Now after pressing the specified combination, the desired utility will start. This method allows you to completely abandon the use of icons on the desktop.

This program allows you to group all the necessary icons in the desired order. You just need to specify a folder with icons in the settings, after which the utility will automatically generate a special shortcut for launching the menu.

Basic principles of information storage
Before you start restoring order on your computer, you need to determine for yourself the basic principles for streamlining data storage.
All objects must be divided into categories; in the future, all new objects must be distributed according to previously created categories. The data storage structure must meet the following requirements:
- the structure to be created should be as convenient and understandable as possible
- change does not have to be chaotic
- it is necessary to maintain order in the selected data storage structure
As a result, unnecessary and unnecessary files will be deleted from the computer (since files are often duplicated), space will be freed up on the PC, and productivity will increase.
Probably, for many users, after finishing work, a lot of files, folders, and documents are accumulated on the desktop that violate all comfort. In this case, you must adhere to a simple rule and after the end of the working day move the created files to the appropriate folders.
For example, you have finished working with an Excel document, move it to a separate folder where the rest of your documents are stored.
Also, do not save all the files on the desktop, since it is located on a local drive with the OS installed, as a result of which all contents may be lost if the system is reinstalled. Of course, there is no doubt that important files are much more convenient to store “in sight”, but this is dangerous.
For your convenience and security, all important files should be stored on other disks, for example, D, E, in the appropriate folders: photos in the Photos folder, documents in My Documents, and so on. On the desktop, you should display exclusively shortcuts, which are incredibly simple to create. To do this, right-click on the file and select "Send / Create Shortcut".
Now you know how to put your desktop in order. The information received will allow you not only to optimize the work in the operating system, but also thanks to it, you will protect yourself from the loss of important data and information in a critical situation.
Defining data storage order
Correct distribution of information on the hard drive increases the reliability of the computer. In most cases, the computer’s disk space is allocated as follows: the Windows operating system is installed on the system local disk “C”, programs, other important data necessary for the system to work, and the second local disk is used to store user data.
What are the two sections for? For greater safety and reliability. System and data should be separated.
In the event of a system crash, you will not lose data that is on another local drive (drive “D”). Because after reinstalling the system, only data on the system disk “C” will be lost, everything else will be preserved in integrity.
Therefore, on a computer, it is desirable to have two or more local drives (for example, “C” and “D” drives). On the “D” disk, it makes sense to store your personal information: music, films, photographs, educational materials, software distributions, etc.
On the system drive "C" there are folders "Documents" (My documents), "Desktop", "Downloads", which sometimes store a large amount of information. These directories can be transferred to another partition on the hard drive. Personally, I do not do this, but only control the contents of these folders. I do not store files in the Downloads folder, but transfer downloaded files to permanent storage locations.
After installing the cloud storage application on the computer, the storage folder is by default located on drive “C”. If you use synchronization, all the “cloud” data will be on the system disk.
If the amount of cloud storage is large, the best solution is to transfer the cloud storage folder to another local drive on your computer. In this case, your data from the "cloud" will not take up space on the system disk.

On the D drive of my computer is the Yandex.Disk folder larger than 200GB, and on the E drive is the 1000GB Cloud Mail.Ru folder. These folders are synchronized with cloud storage, they contain important data for me. The folders are on the computer, so I have constant access to these files, and even if the hard drive fails, I won’t lose important information, because due to synchronization it will be stored in the “cloud”.
At the moment, two hard drives are installed on my computer: on the first hard drive there are two Local drives “C” and “D”, and on the second hard drive there is one Local drive “E”.
Drives are used as follows:
- Local disk "C" (system disk).
- Local disk "D" (file storage).
- Local drive "E" (file storage).
Once you have decided on your computer’s drives, delete the duplicate files.

Delete duplicate files
Removing duplicates will help to filter out unnecessary copies of files, excess data will be deleted from the computer. Many computer cleaning programs have modules for finding and removing duplicates. To remove duplicate files, you can use specialized programs, for example, Auslogics Duplicate File Finder.
Step 2. Correct sorting
Look with a skeptical look at everything that remains after cleaning. What you use every day can be left on the surface of the table or in the nearest drawer. What you take once a week or less, send for storage in a closet or on shelves. So it will be easier for you to keep the space organized and clean, and occasionally getting up from your computer to go after a thing is just a useful workout.
Putting order on the desktop
Cleaning the desktop is the first step in the process of putting things in order on a PC. The abundance of unnecessary data on the desktop may slow down the computer.
Some time ago, they brought me a laptop with the Windows 8 operating system. The laptop was terribly slow. On the desktop was a bunch of folders, shortcuts, and files. There were many photos, some of the photos were duplicated in different folders. I decided to see how much data is on the desktop. It turned out that about 250 GB, it even shocked me a little.
It’s convenient for users to start everything from the desktop, however, then they are surprised at the slow operation of their computer. My suggestions about moving files to another drive or about uploading data to cloud storage are often confused. Many people are too lazy to make an extra mouse click to access the necessary files.
Desktop is a place of work (this is not a random name). Nothing should distract from work. There are only three objects on the desktop of my computer in Windows 10: the “This computer” and “Trash” icons, and the “Programs” folder. Using the “This Computer” icon, you can quickly get into computer management (read here how to return “My Computer” to your desktop), and the “Programs” folder contains shortcuts to the most frequently used programs, most of which are portable. Portable programs themselves are located on disk “D”.
You can do without a similar folder for shortcuts. For portable programs, use the PortableApps.com Platform wrapper program. Portable programs can be located anywhere on the computer, and they will be launched from the shell. The folder with shortcuts to portable programs can be moved to the Start menu in order to run portable programs from there, along with regular applications.
File and Folder Distribution
After you have decided on the file storage locations on the computer, you will need to distribute the files and folders on the disks. First, move and sort the data that you understand, and leave something that is not yet clear to the final stage of distribution.
On the disk for storing files, create folders with understandable names, for example, “Music”, “Video”, “Photo”, “Documents”, etc. In these folders, other folders will be created to sort the files according to certain criteria.
Create a rigid hierarchy of folders in order to clearly understand where what you have.
Let's say you have a lot of photos, videos, music on your computer. Transfer to the disk that you will use as storage, all multimedia files.
Separate photos and folders with photos will be placed in the “Photos” folder. Group the pictures according to certain criteria, for example, the time of shooting, place the photo in folders named according to certain parameters, for example, in the folder “Rest at the sea in such and such a year”. I advise you to always add dates to folders with photos, so that you can easily find the photos you need.
In the “Music” folder, place all the music files that should be categorized (folders) by artist name, album name, music genre, etc., depending on your preference.
Do the same with movies, documents, and other files. During the trial, you will find many unnecessary files that should not be stored on your computer.
An example of folder allocation on my computer. On the “E” disk, several folders with clear names have been created. In the “Music” folder there are several folders with audio files, among them are the “Disco 80s” and “Foreign Artists” folders. In the folder "Foreign performers" are folders that have names by artist names and group names.
Program files are distributed in folders named according to specific categories.
Such a logical structure will help you quickly and easily find the desired file or folder.
Friendly names for folders and files
It is very important to always adhere to the rule: folders and files must be given clear names. Names should be clear to any person.
Even if there is no time to give a friendly name at the moment, take the time to name the file or folder with a friendly name after completion. This will save a lot of time that will have to be spent searching for the desired file or folder.
If there are a lot of files with strange names on the PC, renaming will take quite a while. Complete this work in several steps.
Cleaning up programs
Pay attention to the software of your computer, remove all unnecessary programs and games. Look at the e-mail inboxes, you may need to clean them there.
Put your browsers in order. Remove unnecessary extensions. Understand bookmarks: check bookmarks (it happens that sites cease to exist), group or conveniently distribute bookmarks in the visual bookmarks window. If you have many bookmarks in your browser, group the bookmarks into separate folders with short, understandable names in the bookmarks bar.
System cleaning and defragmentation
After the completion of cleaning, clean the computer from temporary and junk files. When moving large volumes of files, many temporary files appear on the computer. Delete unnecessary files using the Windows tool, or using a specialized program, for example, CCleaner.
After that, defragment your computer in order to collect fragments of files in one place on the disk. With significant data movement, the degree of file fragmentation will seriously increase. Performing defragmentation will streamline the distribution of files on the computer, increase the speed of the system.
Save important data with backup
To keep information safe, back up your system or important data. By backing up the system to another drive (preferably an external hard drive), you are in the state of the system at the time of the backup.
In the event of an operating system crash, restore Windows from a backup. In the event of a hard drive failure, the system or other data from the backup can be restored to a new drive.
For backup, you can use the Windows operating system tool, or specialized programs: Acronis True Image (there is a free version - Acronis True Image WD), AOMEI Backupper, etc.
Step 3. Storage System
Investing in thoughtful organizers is a good idea. It is important that they are convenient for you personally and, importantly, please the eye, then it will be more pleasant to maintain order. It’s great if the organizer has a place to charge the phone, and even better its wireless option - this will save you from unnecessary wires at hand.
Step 5. Storage of little things
No matter how you try, various little things will still accumulate on your desktop. Instead of fanatically following them, get a small tray, bowl, or any other container where you will dump them. The main thing is still to sort it out from time to time.
Step 6. Taming the wires
We already told you about wireless charging for your phone, but this is clearly not the only cable that will bother you. Add special wire organizers to your desktop equipment. If the wires are too long, twist the excess length with rings and fasten with a paper clip - as in the photo below. You can even stick colored stickers to the wires and sign them: a great life hack not only not to get entangled in the same type of cords, but also significantly increase the chance to return your property after you lent it to colleagues.
Step 7. Reference documents nearby
If you have documents in your work that you consult with all the time (instructions, tables - whatever), it is important that they are easily accessible and not be lost in other papers. Make room for these “guides” on the wall near the desktop or in the desktop organizer. To enhance the effect, you can mark this document with a bright sticker, put it in a unique folder or enclose it in a frame.
Step 8. Inspirational Decor
The decor on your desktop - to be! Even if you are an ardent minimalist, 1-2 things will only make everything better. It is important to maintain balance: the decor should be inspiring, but not distracting. And it should be exactly enough so that there is room not only for useful things, but also for empty space. Potted plants or flowers in a vase are recognized as the most useful decor - they reduce nervous tension by as much as 37%!
Motivating postcards and posters, favorite circles are also good, and the office, which is not ashamed to put on Instagram, will be not only inspiring, but also useful. If your table is standing against a wall, use this space not only for mounted organizers, but also for mudboards or beautiful boards for recording plans and ideas.
Step 9. The evening ritual
Order is not enough to be created once; it needs to be maintained. To do this, a ritual that is important to perform before going home will help:
- sort things by organizers,
- clean the table from all that is superfluous,
- wipe it with a cleaning cloth (store it in a table),
- empty the trash can
- wash the cup.
Think about how you start your day, because the way you spend your work morning is a good indicator of the quality of the rest of the day. If you first write down cases in a notebook, let it lie in front of the keyboard with a bookmark on the page you need and a beautiful pen next to it. If you check mail, let nothing get in the way between you and the computer mouse. Are you used to starting morning with coffee? Place the mug in a conspicuous place.
Step 10. Repeat once a quarter
Create another ritual that takes place 4 times a year: your table will still need a general cleaning. In order not to forget about it, you can put reminders and notes on the calendar, but it seems to us that it is much more pleasant to schedule the cleaning at the beginning of a new season.
